The Botswana Christian Health & AIDS Intervention Program is a Non-Governmental Organization registered in 1999. Established as a Christian response to the Government’s call for a multi-sectoral response to fight the HIV/AIDS epidemic. BOCHAIP has 12 centres and 7 satellite centres across the country.

BOCHAIP is looking for a qualified, experienced, and results-oriented individual to oversee the Finance Department. The position reports directly to the organization’s Finance & Admin Director.

FINANCE & ADMINISTRATION MANAGER

The main purpose of the job

To provide all financial, and management support and advice as required by BOCHAIP head office, various centres, and satellites: to ensure comprehensive analysis of financial information for planning and controlling the financial resources of BOCHAIP, and to provide financial data to management for decision-making and for meeting legal and regularity requirements.

Position Requirements:

  • A degree in Accounting or Finance
  • Certification as a professional qualified in accounting or equivalent (Qualified CA/ACCA/CIMA)
  • MBA will be an added advantage
  • BICA active membership is a must
  • 8 years of work experience with at least 3 years in the managerial level of accounting and finance systems in an NGO or private sector
  • Proficient knowledge of sage pastel evolution accounting software
  • Sound knowledge and application of Accounting Standards/ IFRS and Auditing Standards
  • Valid driver’s license
  • Christian background

  • Familiarity with USG rules and regulations is required
  • Extensive experience in proposal preparation and budget formulation
  • Experience in strategic and programme planning processes
  • Understanding of multi and bilateral donor policies and procedures

Responsibilities and Tasks                          

  • Timely preparation of accurate financial reports for board and management use
  • Communicate budgets and spending authorizations to all the departmental heads
  • Ensure adherence to existing finance and procurement procedures
  • Manage the day-to-day functioning of the finance section, including cash disbursements, cash receipts, and timely processing of payments to various stakeholders, clients & regulatory bodies (PAYE TO BURS), etc.
  • Prompt and timely submission of high-quality and error-free reports to various donors
  • Professional writing of proposals and able to advise the organization on investment opportunities
  • Preparation of Financial Statements for the organization and ensures compliance with contractual and legal requirements
  • Preparation of Management accounts
  • Establish an effective filing system which can provide easy access to information and proper documentation of all financial documents
  • Ensure all typical donor requirements for documentation of expenditures are met to facilitate attribution of expenses to donors when funding is obtained
  • Facilitate any external audit
  • Collate /analyze and report on actual and planned monthly expenditures, interpret, and communicate with departmental heads, advise of variance against approved budgets, and make recommendations for corrective action.
  • Make estimates of funds required for the short and long-term financial objectives of the organization.
  • Complete financial reports, lead the month-end closing process and conduct monthly financial forecasts.
  • Ensures that the organization is compliant with regulatory bodies such as BURS and the Register of Societies by submitting the required accurate returns on time.
  • Develop a plan for on-the-job training for all non-finance managers in financial procedures and educate all team members on financial responsibilities
  • Identify problems and develop solutions for best financial practice
  • Provide proper supervision, training, guidance and mentoring to ensure all Finance Officers are empowered to do their work effectively
  • Carry out any other duties and responsibilities; assigned to conformance with policies, standards, and regulations of the organization.
